For example, if someone responds briefly, it might be interpreted as anger or disinterest when it could simply be a distraction or time pressure.
The most effective response is curiosity instead of assumption.
Ask:
“Did you mean it this way, or am I misunderstanding?”
This single question prevents most unnecessary conflict.
It also changes the tone of the conversation from defensive to collaborative.
